FleetDesk sends your RFQs from your own mailbox, reads the replies carriers send from Outlook and Gmail, and turns them into one comparable quote table — with every number traceable back to the sentence it came from. Your carriers install nothing and log in to nothing.
Every new agency starts in shadow mode — we classify, extract and draft, and send nothing until you say so.
Three replies. Three formats. One comparable number.
You send one lane to eight carriers. Eight replies come back in four languages, three currencies and no two of them priced the same way.
Someone reads every reply, retypes the numbers, and hopes they read "per truck" correctly. The one that says 1.180 EUR za naczepę looks like the cheapest bid on the sheet — until two trailers are needed.
Per-truck, per-tonne and total prices land in the same column, converted and multiplied by arithmetic — not by a model's guess. Anything that can't be determined is flagged for review instead of assumed.
Three real reply shapes, and the column your operator ends up comparing.
| Carrier | What the email said | Comparable total | |
|---|---|---|---|
| Van Dijk Transport | "Total price: EUR 2.450,00 all-in" | €2,450 | |
| Kowalski Logistyka | "1.180 EUR za naczepę · 2 naczepy" | €2,360 | cheapest |
| Trasporti Rossi | "possiamo proporre 2.300 euro" | — | basis unclear · needs review |
The Polish quote reads as the most expensive line in the email and is the cheapest bid on the lane. The Italian one looks like the cheapest and can't be compared at all until someone confirms what it covers — so FleetDesk keeps it out of the ranking rather than guessing.
Six steps. Your carriers only ever see step two, and to them it looks like an ordinary email from you.
Route, cargo, dates, incoterms, deadline. Pick carriers from your own contact book.
Sent from your agency's mailbox, signed by your SPF and DKIM. Carriers hit Reply in Outlook like always.
Three layers of correlation tie each reply to the right RFQ and carrier. Anything ambiguous goes to a queue for a person — never guessed.
Price, currency, basis, transit time, validity, conditions — each with its own confidence score and the exact text it came from.
A ranked table with the reasoning and the caveats beside it. The recommendation is arithmetic; the award is yours.
The winner is confirmed and everyone who bid gets a proper reply — in their own language, and without naming the winning price.
Most quote tools ask your carriers to change how they work. That is the assumption we threw out.
Nothing to install, no login, no invitation to accept. A dispatcher who has replied to your emails for nine years keeps replying to your emails. Adoption is not a project.
We never relay through a FleetDesk address. Your SPF, DKIM and DMARC sign it, carriers see a sender they recognise, and your deliverability stays yours.
A price that can't be matched to the words that produced it is rejected by our code. You see the quote card beside the original email, and no quote enters the comparison until a person ticks it.
Chasers and clarifications can send themselves. Accepting a price, confirming a booking or negotiating a number cannot — no setting unlocks them. A person awards the lane.
We classify, extract and draft against your real traffic while sending nothing at all. You see the accuracy on your carriers' phrasing before you trust it with anything.
Set the language per carrier and every invitation, award and regret goes out in it. A Dutch dispatcher reads Dutch; a Romanian one reads Romanian.
Tell us about your agency and we'll get in touch to set you up. We onboard agencies one at a time rather than opening self-service accounts — your mailbox connection and sending domain deserve a conversation.
